About IGLYO

IGLYO — The International LGBTQI Youth & Student Organisation is a member-based youth and student network, with over 115 Member Organisations in 40 Council of Europe countries. IGLYO’s vision is a world where we, young people in all our diversity, are able to express and define our own sexual orientations, gender identities, gender expressions and variations in sex characteristics, and are able to participate fully in all aspects of life, rise to our full potential, and enjoy respect and positive recognition.

IGLYO strives to ensure the voices and experiences of LGBTQI young people are present and heard by decision-makers at European and international levels, by implementing and designing research and policy work in areas such as inclusive education, health and bias-motivated hate-crime and hate-speech.

Organisational Structure

Working at IGLYO

The secretariat of IGLYO is based in Brussels, Belgium, and comprises a 10-person team, working in a variety of different areas. We try to foster a collaborative and supportive work environment which is flexible and allows everyone to achieve their best work. Joining IGLYO means being a key part of a huge network, and with this comes the responsibility to keep abreast of issues of importance to LGBTQI youth, and be adaptive and open to new perspectives.

Contract details

  • Job title: Projects & Events Officer
  • Reporting to: Executive Director
  • Contract type: 18 months contract, part-time 4 days/week
  • Place of work: Brussels, Belgium

Salary

  • Salary: €2080.90 Gross per month (pro-rated from €2601 for a full time contract)
  • Prime de Fin D’année: this is a 13th month salary, paid in December, taxed slightly differently.
  • Double Pécule de Vacances: this is an extra month holiday pay, paid (after 1 year of work in Belgium) in May to the value of 92% of a usual work month.

  • €8.00 lunch voucher/day worked – averaging at €116.00/month
  • €118.98 teleworking working allowance/month (prorated from €148.73 for full time contracts)
  • €16 internet allowance/month (prorated from €20 for full-time contracts)
  • Monthly travel to work subsidy – this payment depends on where you live & what form of travel you take to the office
  • €400 Yearly training allowance (prorated from €500 for full time contracts)
  • Relocation costs covered up to 250€

Other benefits

  • 20.8 days annual leave (prorated from 26 days for full time contracts)
  • Additional 5 days annual leave between 25-31 December
  • Up to 12 weeks working remotely per year
  • 2 days/week working from home

Roles and responsibilities

   Project Management

  • Coordinate selected activities under an EC-funded project
  • Liaise with project partners and project stakeholders
  • Manage the budget assigned to the project
  • Make sure that project deliverables are well documented and reported to the EC in a timely manner
  • Support the communications team in sharing updates about the projects on IGLYO’s channels
  • Coordinate with other members of the IGLYO team who are involved in the projects’ implementation

   Event coordination 

  • Manage the organisation of events of different size and scope, from high-level policy conferences with 200+ participants to statutory events for IGLYO member organisations, to online training events
  • Arrange the logistics and communicate information to participants
  • Support the communications team in sharing updates about the events on IGLYO’s channels
  • Coordinate with other members of the IGLYO team (Staff and Board Members) who are involved in the events’ implementation.
  • Document and report on the events

   Other

  • Draft educational materials based on provided research
  • Implement communications plans related to the projects or events

Personal specifications

At IGLYO, we recognise how many barriers and obstacles people from marginalised communities need to overcome to acquire many of the specifications listed below. We are trying to balance the best interest of the organisation with a fair equitable hiring practice. With this in mind, IGLYO will provide training and support to the hired individual to the best of its abilities during the first year of employment. 

This role requires horizontal work across all of the teams and IGLYO and therefore the ideal candidate is first and foremost organised and excellent at teamwork and communication. 

   Required

  • At least 2 years of experience in project coordination 
  • Experience in event management 
  • Excellent communication and organisational skills
  • Ability to work autonomously and to organise workload, resources and priorities effectively
  • Experience managing a budget 
  • Excellent spoken and written English
  • Excellent IT skills with experience of using Google Drive and Microsoft office 
  • Willingness to work occasionally outside regular hours including weekends during events 
  • Knowledge of LGBTQI rights movement 

   Desirable 

  • A background in training delivery and education
  • Experience creating and disseminating social media content professionally
  • Experience in designing and implementing a communication plan

Candidates must be eligible to work in Belgium at the time of application, as IGLYO does not currently have the capacity to sponsor work visas.
