Introduction

IGLYO — The International LGBTQI Youth & Student Organisation is a member-based youth and student network, with 111 Member Organisations in 41 Council of Europe countries. IGLYO’s vision is a world where we, young people in all our diversity, are able to express and define our own sexual orientations, gender identities, gender expressions and variations in sex characteristics, and are able to participate fully in all aspects of life, rise to our full potential, and enjoy respect and positive recognition.

IGLYO strives to ensure the voices and experiences of LGBTQI young people are present and heard by decision-makers at European and international levels, by implementing and designing research and policy work in areas such as inclusive education, health, and bias-motivated hate-crime and hate-speech.

Working at IGLYO

The secretariat of IGLYO is based in Brussels, Belgium, and comprises a 10-person team, working in a variety of different areas. We try to foster a collaborative and supportive work environment which is flexible and allows everyone to achieve their best work. 

Joining IGLYO means being a key part of a huge network, and with this comes the responsibility to keep abreast of issues of importance to LGBTQI youth, and be adaptive and open to new perspectives.

There is no typical week in the role of Communications & Network Officer. From day to day you could be scheduling social media posts, welcoming a new Member or Friend organisation into the network, sharing our Members’ activities, contacting Members based in a country following a local LGBTQI development, or prospecting to find new Members, Friends, and partners. 

This position requires a flexible, enthusiastic and self-motivated person with a passion for LGBTQI liberation and a good ability to multitask, organise, prioritise, and structure their work.

Communications & Network Officer Profile

Role and Responsibilities

The Communications & Network Team (CNT) is responsible for the design and implementation of IGLYO's Communications and Network Strategies, and their related tasks. The CNT works across all teams to ensure a smooth internal and external communication and engagement stream. 

The Communications & Network Officer works 30-40% on Communications and 60-70% on Engagement and Network-related tasks. However, this task division is subject to be occasionally redistributed between the Officer and the Manager if the workload prevents one of them from carrying out their tasks properly during busy periods. 

Important: The Communications & Network Officer is a newly created role, and the tasks listed below are therefore subject to be adapted after an evaluation planned 6 months after the Officer starts.

Strategic

  • Work closely with the Communications & Network Manager (CNM) to implement and update IGLYO's communications and network strategies and yearly communication plan

Public Profile & Visibility

  • Work collaboratively with the CNM to raise awareness of relevant issues to LGBTQI young people through innovative film and digital storytelling projects
  • Ensure opportunities both from IGLYO and our partners reach our members
  • Manage our social media channels, plan social media content and update the social media calendar, and respond to questions and requests on IGLYO’s social media channels
  • Support the CNM in the layout and dissemination of various communication materials such as the newsletter and press releases

Websites & Visual identity

  • Gather data and monitor traffic to IGLYO’s websites to help improve IGLYO’s online presence
  • Manage and update internal language and design templates to ensure the internal and external outputs produced by the team are in accordance with IGLYO's style guide and visual identity

Membership & Network Management & Development

  • Manage IGLYO’s membership database, ensuring that records of new, renewed, and terminated members are up to date
  • Ensure members are meaningfully engaging with IGLYO and fulfilling their duties as members
  • Manage membership renewals and membership fees 
  • Participate in the coordination of the Annual Members’ Conference, particularly in ensuring that the statutes are followed in terms of member participation
  • Identify and implement practical strategies to build stronger links between IGLYO and its members and between the members themselves
  • Continuously research potential new members for IGLYO to expand the network both geographically and thematically
  • Collect content from member organisations to promote their work across the network
  • Hold regular online meetings with member organisations to build strong working relationships, get to know their work, and keep them updated with opportunities at IGLYO
  • Act as the first point of contact for all existing and prospective members, responding promptly to all enquiries
  • Be the point of contact for IGLYO Alumni and handle all communications with them
  • Keep our Friends of IGLYO database up to date by adding new Friends and updating current ones

  • Undertake any other reasonable duties which contribute to the organisation’s objectives

Personal specifications

At IGLYO, we recognise how many barriers and obstacles people from marginalised communities need to overcome to acquire many of the specifications listed below. We are trying to balance the best interest of the organisation with a fair equitable hiring practice, notably by making the selection process completely anonymous and mostly based on answers to our application questions rather than on the candidates’ CVs.

With this in mind, IGLYO will provide training and support to the hired individual to the best of its abilities. 

Required

  • At least one year of experience in communications, membership management, and/or public relations;
  • Strong social media management skills (experience with TikTok is an asset);
  • Excellent IT skills with extensive experience of using Microsoft Office & Google Drive;
  • Experience and knowledge of CMS (experience with Webflow is an asset);
  • Experience and knowledge of CRM and database management;
  • Ability to collect and summarise information, and identify relevant stakeholders to disseminate it to;
  • Experience and knowledge of LGBTQIA+, gender & diversity topics;
  • Excellent writing skills in English;
  • Ability to multi-task and plan and organise one’s work by identifying and scheduling steps leading towards accomplishing tasks;
  • Ability to work autonomously and to organise workload, resources and priorities effectively;
  • Excellent interpersonal communications skills and social skills;
  • Willingness to occasionally travel or work on weekends or during unsociable hours.

Desirable

  • Experience in membership management and of working for a membership-based organisation or for a human rights organisation;
  • Have been involved in youth or student organisations, have experience in youth work;
  • Public speaking skills;
  • Experience and knowledge of video creation and edition;
  • Experience in international campaigning;
  • Creative thinking;
  • Knowledge of LGBTQI advocacy.

Job Title

Communications & Network Officer

Salary (Gross)

  • 2,500 EURO gross per month
  • Prime de Fin D’année – this is a 13th month salary, paid in December, taxed slightly differently.
  • Double Pécule de Vacances – this is an extra month holiday pay, paid (after 1 year of work in Belgium) in May to the value of 92% of a usual work month.

  • 7.00 € lunch voucher for every day worked – averaging at 140.00 €/month
  • Monthly local travel subsidy – this payment depends on where you live & what form of travel you take to the office
  • Yearly training allowance
  • Relocation costs covered up to €250
  • Up to 12 weeks working remotely per year

Holiday Entitlement

  • 22 days annual leave (in addition, Belgium has 10 public holidays for which we allow certain flexibility)
  • Additional 5 days annual leave between 25-31 December

37.5 hrs per week (5 days), core working hours between 09:30 & 16:00 (Brussels time)

Selection details

If your application is successful, you will be notified by email by the end of 2 August 2023 at the latest and will be asked to attend a first online interview scheduled between 8-9 August 2023. Please note that you will receive an assignment to complete ahead of this first interview if you are selected.

The top candidates will be asked to attend a second interview on 16 August 2023.

The successful candidate will be expected to take up their post in mid-September 2023; the start date is negotiable.
